Satellite symposia packages
Organizers are responsible for the full coordination of their satellite symposia and can select from two flexible packages:
Package A
Room capacity: Over 450 people*
Select a duration of either:

60 or 90 minutes

60-minute slots take place in the mornings from Monday to Thursday, 14-17 July.

90-minute slots take place in the morning and afternoon on Monday, 14 July, and evening on Wednesday, 16 July.

60-minute PRIME-time slots take place at lunchtime from Monday to Wednesday, 14-16 July.

90-minute PRIME-time slots take place in the evenings on Monday and Tuesday, 14 and 15 July.

Satellite symposia fees
Different fees apply to different organizations:

Non-commercial organizations:

Category 1. This includes academia, non-profit organizations (international), people living with HIV networks, non-governmental organizations (community based or national) and advocacy networks.

Category 2. This includes government representatives, UN agencies and philanthropic organizations.

Commercial organizations:

This includes diagnostic companies, pharmaceuticals, private sector companies and other commercial organizations (such as cooperatives, hospitals/clinics, media organizations and trade unions).

Who can host a satellite symposium at IAS 2025?
To host a satellite symposium at IAS 2025, commercial and non-commercial organizations must meet the following criteria:
- The organization reflects and/or supports the vision and goals of the conference.
- The organization addresses HIV and AIDS, co-infections or issues faced by individuals or organizations affected by or responding to the HIV and AIDS pandemic.
- The organization reflects the conference policies and goals of diversity and inclusion.
The IAS reserves the right to review satellite symposium content and reject any order if it perceives that the organization is not in line with the values and objectives of IAS 2025.
What is the difference between a regular time slot and a prime-time slot
Prime-time slots take place at lunchtime from Monday to Wednesday, 14-16 July, and in the evenings on Monday and Tuesday.

How do I book a satellite symposium?
You can place satellite symposia orders via the IAS 2025 online ordering system. This offers a simple ordering process, which requires you to create an account and place your order. All orders placed are subject to IAS 2025: Terms and conditions for satellite symposia.
How are satellite symposia scheduled?
The scheduling of satellite symposia is at the discretion of the IAS 2025 Satellites team. Only Major Industry Sponsors can select their satellite symposium slot.
The Satellites team schedules satellite symposia on a first-come, first-paid, first-served basis. This relates to when applications and payments are received, as well as availability of the satellite organizers’ chosen satellite symposium duration (60 or 90 minutes) and whether it is during prime time.
Do satellite symposia speakers need to be registered?
Speakers need to be registered. They can either register for the full conference or buy a day pass for the day of the satellite; a day pass will grant access to the full conference for that day.

Can satellite symposium organizers attend the conference?
To attend the conference, satellite organizers need to be registered for IAS 2025.
What is included in the session rooms?
Session rooms are equipped with standard conference equipment, including chairs, stage and podium, and standard audio-visual equipment. We will share more details as soon as we can.
You can hire additional equipment from the official conference contractor and other third-party conference suppliers.
